Treat WhatsApp measurement as a chain. A person sees a campaign, clicks a link, starts or continues a conversation, becomes qualified, and may later buy. Each stage answers a different question. Counting only link clicks overstates demand; counting only closed sales can hide follow-up problems.
Define the stages first
Write operational definitions for started conversation, unique contact, valid enquiry, qualified lead, appointment or booking, sale, lost lead, and duplicate. Make the definitions usable by the people handling messages. If qualification exists only in a marketing spreadsheet, the trail will break.
Decide how long a contact remains the same lead and how repeat enquiries are treated. Keep personal data to the minimum needed for the sales process and document who can access it.
Carry source information into the conversation
Use distinct tracked links for campaigns, ad groups, creators, landing pages, and offline placements where practical. Add human-readable prefilled message text only when it helps the customer and the team identify intent. Preserve UTM parameters on the landing page and create a server or analytics event when the WhatsApp action is selected.
The platform click event shows that someone chose WhatsApp. It does not prove that a message was sent or a useful conversation occurred. Report the distinction clearly.

- Create or update one contact record when a genuine enquiry arrives.
- Store first known source, latest source, campaign context, and consent status separately.
- Assign an owner and timestamp the first response.
- Record qualification and loss reasons using a short controlled list.
- Link appointments, quotes, orders, or bookings back to the contact.

Diagnose the gaps
Compare click-to-conversation, conversation-to-qualified, qualified-to-next-step, and next-step-to-sale. A weak first transition may indicate a confusing handoff or accidental clicks. A weak qualification rate may point to targeting or offer problems. A weak sales rate may involve response speed, availability, pricing, or follow-up rather than media alone.

Choose one campaign and one WhatsApp destination. Track it end to end for two sales cycles, review missed records with the people handling conversations, and fix the process before scaling the naming system across every channel.
